From November 2007, Paul Baigent, Group Purchasing Director of Aliaxis Holdings UK Limited has been been working with Susan Jennings, Partner, on developing a master suite of purchasing tender & contract documents to use across the Aliaxis Group of companies within the UK. Aliaxis is the manufacturer of plastic pipes and associated products in the domestic, industrial and utility sectors and they have seven companies within the UK; globally they have companies in over 50 countries and with a turnover in excess of 2 billion Euros.
The UK is the only country where Aliaxis works with a centrally led purchasing function and many of the initiatives that they are undertake are now being replicated elsewhere throughout the Group. One of these activities was the development of a standard suite of purchasing documents that could be used by all members of the Purchasing Dept and even by other employees when members of the Purchasing Dept are not available, thereby providing a continuous support service. It was this initiative that Susan Jennnings was involved in.
The template documents cover the full life cycle of the purchasing process from pre-qualification, through to tender, to contract award and finally to contract management actions such as variation orders and acceptance certificates. New forms of confidentiality agreements were also developed.
By creating a standard suite of documents it enables a greater degree of control over what exactly is being issued to suppliers and potential suppliers whilst creating an easy process for the user. The templates have been loaded onto the Group Purchasing web site and via a bespoke web based mail merge tool called Intellidoc, users can now develop a tender document for a set of tooling, in as little as two minutes. Simply by asking a few questions such as the required payment duration, a tender document will be quickly developed on the website which users can then download and store on their hard drive. This can then be issued to tenderers and suppliers in the normal methods. In order to develop this functionality it was imperative that a reliable, accurate and easily understood suite of template documents was available and working with Susan, Aliaxis Holdings UK Ltd was able to do this.
There are seven sets of document types covering general purchases and then specific types for capital equipment, tooling, consultancy services, survey works, design services and the provision of temporary labour.
Without the base documents developed with Susan Jennings, the Intellidoc tool would have had limited benefit and the time efficiencies created by the initiative couldn’t have been achieved.
Another tool that Susan helped develop was a legal dictionary (again maintained on our web site) where over 50 common legal definitions and principles are accessed via a simple click of the mouse.
