Based at either our Canterbury and/or Chatham office

We are seeking a full-time permanent Legal Secretary to provide an efficient and effective service within the Commercial Real Estate team, mainly supporting one Partner and a further one to two fee earners. We may also at times operate a secretarial pooling system whenever needed to cover annual leave, sickness or specific workloads.

Key Duties:

  • Scanning of incoming post
  • Audio typing of correspondence, documents and forms
  • Maintaining an effective on-line filing system including opening files, AML and closing files
  • Dealing with post completion matters including SDLT forms and payments as well as all Land Registry forms
  • Monthly billing
  • Handling incoming telephone calls in an efficient and courteous manner, dealing with queries where possible and passing on in a timely manner

Key Skills:

  • Legal secretarial experience essential
  • Commercial property conveyancing experience essential
  • Knowledge and use of audio dictation, Infotrack (or equivalent), Oyez, property searches, the Land Registry Portal, Companies House and SDLT returns and submissions
  • To be motivated and able to take initiative in order to help their fee earner be more efficient and better organised
  • Typing speed of 70+ words per minute
  • A friendly but efficient telephone manner
  • Excellent communication and customer service skills
  • Previous experience of working within a paperless or paper lite environment
