Legal Secretary – Commercial Real Estate
Business support vacancy
Based at either our Canterbury and/or Chatham office
We are seeking a full-time permanent Legal Secretary to provide an efficient and effective service within the Commercial Real Estate team, mainly supporting one Partner and a further one to two fee earners. We may also at times operate a secretarial pooling system whenever needed to cover annual leave, sickness or specific workloads.
Key Duties:
- Scanning of incoming post
- Audio typing of correspondence, documents and forms
- Maintaining an effective on-line filing system including opening files, AML and closing files
- Dealing with post completion matters including SDLT forms and payments as well as all Land Registry forms
- Monthly billing
- Handling incoming telephone calls in an efficient and courteous manner, dealing with queries where possible and passing on in a timely manner
Key Skills:
- Legal secretarial experience essential
- Commercial property conveyancing experience essential
- Knowledge and use of audio dictation, Infotrack (or equivalent), Oyez, property searches, the Land Registry Portal, Companies House and SDLT returns and submissions
- To be motivated and able to take initiative in order to help their fee earner be more efficient and better organised
- Typing speed of 70+ words per minute
- A friendly but efficient telephone manner
- Excellent communication and customer service skills
- Previous experience of working within a paperless or paper lite environment
